Privacy Policy

About this policy. Receptify is an early-stage company, and this policy describes how we handle information today. We'll update it as our product and practices grow. If anything here is unclear, email privacy@receptifytech.com and we'll answer plainly.

Receptify (“Receptify,” “we,” “us,” or “our”) provides AI voice-agent and automation services to home-service businesses. This Privacy Policy explains what information we collect, how we use and share it, the choices you have, and how we handle sensitive matters like call recording, artificial intelligence, and text messaging — both when you visit this website and when our AI answers a call on a business's behalf.

Scope & who this covers

This policy applies to two groups. Business Users are the owners and staff who browse this site, use the calculator, request a call, or subscribe to the service. Callers are the customers who phone a business that uses Receptify and speak with our AI agent. Where a section applies to only one group, we say so.

Definitions

Business User
A home-service business, and its personnel, that visits this site or uses the service.
Caller
An individual who calls a Business User's phone line and interacts with the Receptify AI agent.
Personal Information
Information that identifies, relates to, or could reasonably be linked with a particular individual or household.
Processing
Any operation performed on Personal Information, such as collecting, recording, storing, using, sharing, or deleting it.
Service Provider / Processor
A company that processes Personal Information on behalf of, and under the instructions of, another business.
Services
Receptify's AI voice-agent, call-handling, booking, messaging, and automation offerings.

Information we collect

a. From Business Users

  • Contact & request details you submit: name, company, trade, mobile number, optional email, and any notes.
  • Calculator inputs you enter (call volume, average job value, missed-call rate) and the estimate we generate, if you choose to send them with your request.
  • Account & billing details if you subscribe, such as business details and payment information processed by our payment provider.
  • Technical data your browser sends: IP address, device and browser type, referring page, and pages viewed.

b. From Callers (through a Business User)

  • Call content: audio recordings and transcripts of the conversation with the AI agent.
  • Booking & contact details the Caller provides: name, phone number, service address, and the nature of the job.
  • Call metadata: phone number, date, time, and duration.

c. Collected automatically

  • Cookies and similar technologies that are necessary for the site to function and, where enabled, basic analytics (see Cookies & tracking).

Recording, AI & voice data

Receptify uses automated AI systems to answer calls, quote jobs, and book appointments, and it records and transcribes calls to provide the Services. The AI identifies itself as a front desk and does not claim to be a human when asked. Where technically enabled, callers are given a spoken notice that the call may be recorded.

Ohio Rev. Code § 2933.52 (interception of communications). Ohio is a “one-party consent” state — a call may lawfully be recorded when at least one party to the call consents. Because the Business User is a party to the call and consents to recording, recording is permitted under Ohio law. Even where one-party consent applies, disclosing the recording on the phone line and on this site is our practice.
Ohio Consumer Sales Practices Act — Ohio Rev. Code § 1345.01 et seq. We disclose our use of automated AI to book services so that consumers are not misled about who — or what — they are dealing with.

Voice & biometric data

We use call audio and transcripts to provide and improve the Services. Receptify does not create, use, or store voiceprints or other biometric identifiers from call audio, and we do not sell voice data.

Multi-state note: some states require all parties to a call to consent to recording. A Business User that serves callers in those states should configure its call-recording disclosures accordingly. See State-by-state differences.

How we use information

  • To respond to your request, schedule your intro call, and prepare for it (including reviewing calculator numbers you send).
  • To provide, operate, secure, train, and improve the AI answering and booking Services.
  • To create call summaries, confirmations, and records for the Business User.
  • To send service messages and, with your consent, scheduling or follow-up texts and calls.
  • To prevent fraud and abuse and to meet legal obligations.

We do not use call recordings or Caller information to build advertising profiles, and we do not sell them.

How we share information

We do not sell your Personal Information, and we do not share your lead or Caller information with other companies for their own marketing. When a Caller books through our AI, the information goes to the business that was called — not to a pool of competitors.

We share information only as needed to run the Services:

  • With the business you contacted or called, so it can serve you.
  • With vendors (subprocessors) that operate the Services under contract, who may process information only on our instructions (see table below).
  • When required by law, or to protect rights, safety, and our systems.
  • In a business transfer, such as a merger or acquisition, subject to this policy.

Our role & data processing

For information about Business Users (your own account and marketing data), Receptify acts as a business/controller that decides how the information is used under this policy.

For Caller information handled on a Business User's behalf, Receptify acts as a Service Provider / Processor: we process that information only to provide the Services and under the Business User's instructions, and not for our own independent purposes. The Business User is responsible for its own privacy notices to its customers.

Data Processing Agreement. Business Users that require a Data Processing Agreement (DPA) — covering purpose limitation, confidentiality, subprocessor terms, and deletion or return of data — can request one by emailing privacy@receptifytech.com.

Calls, texts & messaging

When you give us your number in the form, you agree that Receptify may call or text you about your request — for example, to schedule your intro call. Message and data rates may apply, message frequency varies, reply HELP for help and STOP to opt out. This consent is not a condition of any purchase, and you can opt out at any time.

Full messaging-program terms — including the program description, opt-in method, supported keywords, and carrier disclosures — are in our Terms of Service, “Messaging (SMS) Terms.”

Telephone Consumer Protection Act — 47 U.S.C. § 227 and 47 C.F.R. § 64.1200. The TCPA governs automated and prerecorded calls and texts. Automated systems generally may not place unsolicited marketing calls or texts without required prior consent. Business Users are responsible for having a lawful basis to contact their own customers; Receptify is designed to help, not to place unsolicited marketing on your behalf. Federal consent rules have been subject to change and litigation — confirm current requirements with counsel.

Cookies & tracking

This site uses cookies that are necessary for it to function and, where enabled, basic analytics to understand traffic. We do not currently use advertising or cross-site tracking cookies.

We do not currently use advertising pixels, sell your information, or share it for cross-context behavioral advertising — so there is nothing to opt out of today. If we later add advertising pixels or third-party analytics (for example, for Meta or Google ad campaigns), we will update this section, add a “Your Privacy Choices” opt-out, and honor Global Privacy Control (GPC) browser signals in the same release.

Retention

We keep information for as long as needed to provide the Services, meet legal and accounting obligations, and resolve disputes. Call recordings and transcripts are retained per the settings of the Business User and applicable law, then deleted or de-identified.

Security

We use administrative, technical, and physical safeguards designed to protect information — including access controls and encryption in transit. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

Your privacy rights

Depending on where you live, you may have some or all of the following rights over your Personal Information:

  • Access & portability — know what we hold and get a copy.
  • Correction — fix inaccurate information.
  • Deletion — ask us to delete information, subject to legal exceptions.
  • Opt out of sale/sharing and targeted advertising — though we do not currently sell or share information for cross-context behavioral advertising.
  • Limit use of sensitive information where applicable.
  • Appeal a denied request, and use an authorized agent to submit a request.
  • Non-discrimination — we will not treat you differently for exercising these rights.

To make a request, contact us using the details below. We will verify your identity and respond within the time your state's law requires (generally 45 days, extendable where permitted). We honor Global Privacy Control (GPC) signals as an opt-out of sale/sharing where that becomes applicable.

Callers who want to exercise rights over information held by a Business User should contact that business directly; we will assist that business as its Service Provider.

Do-not-contact choices

You can tell us to stop contacting you at any time — reply STOP to a text, ask us on a call, or email us. We maintain an internal do-not-contact list for Receptify's own outreach. Note that opting out of Receptify's outreach is separate from any messages a Business User sends to its own customers through the Services; those are governed by that business's own practices.

Children

Our Services are for businesses and are not directed to children under 16. We do not knowingly collect their Personal Information.

State-by-state differences

Receptify is based in Ohio, and this policy references Ohio law as its primary framework. Privacy, call-recording, and consumer-protection laws vary significantly from state to state. Several states have comprehensive privacy statutes with additional rights and disclosures, and some require all-party consent for call recording. If you operate — or your callers are located — outside Ohio, additional or different rules may apply, and we adapt our practices as we expand into new states.

Changes

We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide a more prominent notice.
